Ask how far ahead to book a retreat and the answers all disagree, because the honest answer is: it depends on what is being asked of the calendar.
Three things move the number - season, group size, and how much of the property the group needs.
The more of those three that are demanding, the longer the runway: a full-property buyout on peak fall or summer dates sits at the far end of the scale, while a small group with flexible off-season dates can book on a much shorter clock.
Date flexibility is the cheat code. A group that can shift by a week or accept midweek dates shops from a much bigger inventory, later, than a group locked to one weekend.
Fix the headcount and the season first, then let those two set the booking clock - not the other way around.
